How to Send Ninja Forms Submissions to FreshBooks
FreshBooks is an accounting platform for managing finances. Ninja Forms makes it easy to build forms, but sending data to external platforms requires an integration. AFI bridges that gap to FreshBooks. Here is the full setup.

What you will need
- A WordPress site with Ninja Forms installed and at least one form.
- A FreshBooks account.
- The Advanced Form Integration plugin (free from WordPress.org).
Connect FreshBooks to AFI
FreshBooks uses OAuth 2.0 for authentication. In AFI → Settings → FreshBooks, click Authorize and grant access. This is a one-time step.
Setting up the integration
1. Create a new integration
Go to AFI → Add New. Name it Ninja Forms to FreshBooks.
2. Pick your trigger
Select Ninja Forms as the form provider and choose the form you want to connect. AFI detects the fields automatically.
3. Select FreshBooks as the destination
Choose FreshBooks from the platform dropdown and pick Create Client. This creates a client in FreshBooks.
4. Map fields
Match each FreshBooks field on the left to the corresponding Ninja Forms field on the right. You can also use smart tags like {{_submission_date}} and {{utm_source}}.
5. Add conditions if needed
Only want to send certain submissions? Set up a conditional rule based on any form field value.
6. Save and test
Click Save Integration. Fill out your Ninja form and submit. Check FreshBooks to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.
