How to Send Happy Forms Submissions to QuickBooks Online

QuickBooks Online is an accounting platform for managing finances. Happy Forms makes it easy to build WordPress forms. Happy Forms is where that data needs to go. Here is how to connect them without Zapier or code.

Why not just use Zapier?

For connecting your forms to accounting, a cloud automation service adds cost and a dependency on an external server. AFI runs on your site with no task limits.

What you will need

• A WordPress site with Happy Forms installed and at least one form.
• A QuickBooks Online account.
• The Advanced Form Integration plugin (free from WordPress.org).

Connect QuickBooks Online to AFI

QuickBooks Online uses OAuth 2.0 for authentication. In AFI → Settings → QuickBooks Online, click Authorize and grant access. This is a one-time step.

Setting up the integration

1. Create a new integration

Go to AFI → Add New. Name it Happy Forms to QuickBooks Online.

2. Pick your trigger

Select Happy Forms as the form provider and choose the form you want to connect. AFI detects the fields automatically.

3. Select QuickBooks Online as the destination

Choose QuickBooks Online from the platform dropdown and pick Create Customer. This creates a customer in QuickBooks Online.

4. Map fields

Match each QuickBooks Online field on the left to the corresponding Happy Forms field on the right. You can also use smart tags like {{_submission_date}} and {{utm_source}}.

5. Add conditions if needed

Only want to send certain submissions? Set up a conditional rule based on any form field value.

6. Save and test

Click Save Integration. Fill out your Happy Forms form and submit. Check QuickBooks Online to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.
