How to Send FormCraft Submissions to QuickBooks Online

QuickBooks Online is an accounting platform for managing finances. If you want FormCraft submissions in QuickBooks Online, you could pay for a cloud automation service. Or you could do it directly from WordPress. This is the direct route.

Why not just use Zapier?

For connecting FormCraft to accounting, a cloud automation service adds cost and a dependency on an external server. AFI runs on your site with no task limits.

What you will need

• A WordPress site with FormCraft installed and at least one form.
• A QuickBooks Online account.
• The Advanced Form Integration plugin (free from WordPress.org).

Connect QuickBooks Online to AFI

QuickBooks Online uses OAuth 2.0 for authentication. In AFI → Settings → QuickBooks Online, click Authorize and grant access. This is a one-time step.

Setting up the integration

1. Create a new integration

Go to AFI → Add New. Name it FormCraft to QuickBooks Online.

2. Pick your trigger

Select FormCraft as the form provider and choose the form you want to connect. AFI detects the fields automatically.

3. Select QuickBooks Online as the destination

Choose QuickBooks Online from the platform dropdown and pick Create Customer. This creates a customer in QuickBooks Online.

4. Map fields

Match each QuickBooks Online field on the left to the corresponding FormCraft field on the right. You can also use smart tags like {{_submission_date}} and {{utm_source}}.

5. Add conditions if needed

Only want to send certain submissions? Set up a conditional rule based on any form field value.

6. Save and test

Click Save Integration. Fill out your FormCraft form and submit. Check QuickBooks Online to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.
