How to Send Caldera Forms Submissions to Deputy

Deputy is a workforce management platform. Every Caldera Forms submission should flow into Deputy automatically. This guide shows how to set that up in five minutes.

The direct approach

What you will need

• A WordPress site with Caldera Forms installed and at least one form.
• A Deputy account.
• The Advanced Form Integration plugin (free from WordPress.org).

Connect Deputy to AFI

Deputy uses OAuth 2.0 for authentication. In AFI → Settings → Deputy, click Authorize and grant access. This is a one-time step.

Setting up the integration

1. Create a new integration

Go to AFI → Add New. Name it Caldera Forms to Deputy.

2. Pick your trigger

Select Caldera Forms as the form provider and choose the form you want to connect. AFI detects the fields automatically.

3. Select Deputy as the destination

Choose Deputy from the platform dropdown and pick Add Employee. This creates an employee in Deputy.

4. Map fields

Match each Deputy field on the left to the corresponding Caldera Forms field on the right. You can also use smart tags like {{_submission_date}} and {{utm_source}}.

5. Add conditions if needed

Only want to send certain submissions? Set up a conditional rule based on any form field value.

6. Save and test

Click Save Integration. Fill out your Caldera Forms form and submit. Check Deputy to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.
