EngageBay is a CRM that helps you manage contacts and track interactions. Getting The Events Calendar event into EngageBay does not require external tools. Advanced Form Integration handles it natively, and this guide covers every step.

The direct approach

AFI delivers event data straight from WordPress to EngageBay. No third-party cloud, no per-task fees, and every request is logged for troubleshooting.

What you will need

  • A WordPress site with The Events Calendar installed and configured.
  • A EngageBay account.
  • The Advanced Form Integration plugin (free from WordPress.org).

Connect EngageBay to AFI

  1. Log in to your EngageBay account.
  2. Go to Settings → API and copy your API Key.
  3. In WordPress, go to AFI → Settings → EngageBay.
  4. Enter the API Key, email, and name, then click Save.

Setting up the integration

1. Create a new integration

Go to AFI → Add New. Name it The Events Calendar to EngageBay.

2. Pick your trigger

Select The Events Calendar as the form provider. AFI fires when an event RSVP or ticket order is submitted, giving you access to attendee name, email, event title, event date, ticket type, and order total.

3. Select EngageBay as the destination

Choose EngageBay from the platform dropdown and pick Create Contact. This creates a contact in EngageBay.

4. Map fields

Match each EngageBay field on the left to the corresponding The Events Calendar field on the right. Common mappings include attendee name, email, event title, event date, ticket type, and order total. You can also use smart tags like {{_submission_date}}.

5. Add conditions if needed

Only want to send certain records? Set up a conditional rule based on any field value.

6. Save and test

Click Save Integration. Trigger a test event in The Events Calendar. Check EngageBay to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.

Free vs Pro

The free version maps name, email, and phone to EngageBay with unlimited records. Pro adds custom field mapping. No per-record fees on any plan.

Frequently asked questions

Will adding this slow down my site?

No. AFI sends data to the destination after the event completes. Your site performance is not affected.

Yes. Create a separate integration for each destination, and every record flows to all of them simultaneously.
