How to Send weForms Data to QuickBooks Online

QuickBooks Online is an accounting platform for managing finances. Every weForms submission record should flow into QuickBooks Online automatically. This guide shows how to set that up in five minutes.

Connect QuickBooks Online to AFI

QuickBooks Online uses OAuth 2.0 for authentication. In AFI → Settings → QuickBooks Online, click Authorize and grant access. This is a one-time step.

Setting up the integration

1. Create a new integration

Go to AFI → Add New. Name it weForms to QuickBooks Online.

2. Pick your trigger

Select weForms as the form provider. AFI fires when a form is submitted, giving you access to submitter name, email, phone, and any custom form fields.

3. Select QuickBooks Online as the destination

Choose QuickBooks Online from the platform dropdown and pick Create Customer. This creates a customer in QuickBooks Online.

4. Map fields

Match each QuickBooks Online field on the left to the corresponding weForms field on the right. Common mappings include submitter name, email, phone, and any custom form fields. You can also use smart tags like {{_submission_date}}.

5. Add conditions if needed

Only want to send certain records? Set up a conditional rule based on any field value.

6. Save and test

Click Save Integration. Trigger a test event in weForms. Check QuickBooks Online to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.
