How to Send bbPress Data to Instantly
Instantly is a cold email platform for managing subscribers and campaigns. bbPress manages a user creates a topic or replies in a forum, but sending that data to external platforms needs an integration. AFI bridges that gap to Instantly.
Why not just use Zapier?
For connecting your community platform to cold email, a cloud automation service adds cost and a dependency on an external server. AFI runs on your site with no task limits.
What you will need
- A WordPress site with bbPress installed and configured.
- A Instantly account.
- The Advanced Form Integration plugin (free from WordPress.org).
Connect Instantly to AFI
- Log in to your Instantly account.
- Copy your API Key from settings.
- In WordPress, go to AFI → Settings → Instantly.
- Paste the API Key and click Save Changes.
Setting up the integration
1. Create a new integration
Go to AFI → Add New. Name it bbPress to Instantly.
2. Pick your trigger
Select bbPress as the form provider. AFI fires when a user creates a topic or replies in a forum, giving you access to member details, profile fields, and activity data.
3. Select Instantly as the destination
Choose Instantly from the platform dropdown and pick Add Lead. This adds a lead to Instantly.
4. Map fields
Match each Instantly field on the left to the corresponding bbPress field on the right. Common mappings include member name, email, profile data, and activity type. You can also use smart tags like {{_submission_date}}.
5. Add conditions if needed
Only want to send certain activities? Set up a conditional rule based on any field value.
6. Save and test
Click Save Integration. Trigger a test a user creates a topic or replies in a forum in bbPress. Check Instantly to confirm the data arrived. If anything looks wrong, open AFI → Log to see the exact request and response.
Free vs Pro
The free version maps email, first name, and last name to Instantly with unlimited events. Pro adds custom field mapping and campaign selection. No per-event fees on any plan.
Frequently asked questions
Which bbPress events trigger the integration?
AFI fires when a user creates a topic or replies in a forum. This covers member registrations, profile updates, and group joins.
Will adding this slow down my site?
No. AFI sends data to the destination after the community event completes. Your members are not affected.
Can I send member data to multiple platforms?
Yes. Create a separate integration for each destination, and every event flows to all of them simultaneously.
